What You'll Do

The Executive Administrator Risk provides administrative support to the First Vice President of Enterprise Risk & Third-Party Risk Management and the areas that report into the FVP including their direct and indirect reports. This position regularly handles confidential and sensitive information and plays an important role in ensuring the proper functioning of the overall administration which include but are not limited to Risk Management's Board, Exam, and Audit preparation and minutes, managing travel, invoices and expenses for the team, calendar and meeting coordination.

Provides coordination of efforts and research for priority projects. Confidentiality, tact, and integrity are essential in this role. Exceptional work ethics and organizational skills are essential.

Core Contributions

  • Provide direct support to the FVP Enterprise Risk & Third Paty Risk Management, maintaining a one-on-one working relationship. Understand Risk priorities, provide complex calendar management, prepare for internal and external meetings and exams, deliver operational excellence, and proactively anticipate and support the needs of the Senior Leader.
  • Align with Leadership on weekly priorities. Understand and help to execute our people and business priorities and processes.
  • Exercise discretion in managing the confidential and sensitive nature of communications associated with senior executives' and managers' activities. Execute with a high level of confidentiality, integrity, political acumen and discretion, high attention to details.
  • React with appropriate urgency to requests/situations that require a quick turnaround and takes effective action without having to know the whole picture.
  • Exercise moderate level of autonomy in troubleshooting issues as they arise. Ability to take initiative and ownership over sometimes ambiguous tasks and situations with little oversight.
  • Create agendas, reports, PowerPoint decks and coordinate materials for both business and Board/Board Committee meetings. Handle requests from and communication with Risk Management Leadership team, other admins and the Board/volunteers.
  • The ability to manage special projects while supporting the FVP strategic priorities, including performing research and/or collecting data and reports from colleagues and consolidating for review and recommendations.
  • Strategic approach to coordinating and scheduling meetings. Ensure requests have a clearly defined purpose and time zone sensitivities considered. Coordinate agendas and materials for meetings as needed.
  • Demonstrated ability to think strategically and prioritize leaders' calendar based on rapidly shifting priorities. Strong calendar management skills, including coordination of complex executive meetings across multiple time zones. Skilled problem-solver and organizational excellence. Resolve overlapping commitments and protect time for shifting priorities.
  • Event organization and coordination of team on and off-sites and team building activities including logistics.
  • Manage expenses and travel arrangements which include processing system approvals promptly and handling expenses including corporate credit card invoices and reimbursements.
  • Foster strong relationships and trust with Senior Leadership, Executive Assistants, Business Operations, and key business partners across the organization.
  • Team player with strong collaboration skills. Communicate clearly, succinctly, and effectively.
Assets You Will Bring
  • Associate's degree required or equivalent experience. Field of Study: Business Administration, Management, Communications, or related field
  • 4-6 years of experience supporting senior executives or leadership teams in an administrative or executive assistant capacity.
  • Computer Skills: Highly Proficient in Microsoft Office (Excel, PowerPoint, Word, Teams, Outlook).
  • Advanced calendar and executive schedule management.
  • Strategic thinking and prioritization.
  • Confidentiality and executive discretion.
  • Strong communication and interpersonal skills.
  • Problem-solving and decision-making abilities.
  • Project coordination and operational support.
  • Event planning and logistics management.
  • Ability to manage multiple priorities in a fast-paced environment.
The estimated salary for this role is $35.92 to $43.11 per hour.
