The Opportunity
This Department Operations Coordinator role is situated within the Mass General Brigham Office of the COO's Project Management Office. This department of internal consultants and project managers partners with senior leadership to drive system-wide initiatives that advance MGB's mission by improving patient care, accelerating research and innovation, enhancing education, and ensuring responsible resource stewardship.
Job Summary
Primary Responsibilities:
This role serves as the central coordination point for department operations, ensuring seamless administrative coordination, accurate reporting, and efficient internal processes. This role provides comprehensive operational and administrative support across the department including department-wide scheduling support, managing operational logistics (e.g., managing expenses, ordering supplies), executing recurring reporting processes, running and analyzing data and reports, and supporting large-scale meetings and retreats.
This role is critical to keeping the department running smoothly while also elevating how information is used. You'll help leadership stay organized, informed, and focused on what matters most. This position is ideal for a highly organized, technically capable professional who thrives in a fast-paced environment and enjoys combining administrative excellence with data-driven operational support.
Qualifications
What You'll Bring
Qualifications:
- High School Diploma required; Associate's Degree preferred.
- 5+ years of experience in an administrative role, preferably in a healthcare setting required.
- Experience supporting multiple stakeholders in a fast-paced professional environment required.
- Proficiency in Microsoft Office Suite (Word, Excel, Powerpoint, Outlook) required.
- 1+ years of experience supporting senior-level staff preferred.
- Experience with reporting tools, portfolio management software, or enterprise systems preferred.
- Experience generating reports and presenting findings preferred.
Additional Knowledge, Skills and Abilities:
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Ability to work independently with minimal supervision.
- Strong attention to detail and problem-solving skills.
- Familiarity with hospital administration processes and healthcare regulations.

Additional Job Details (if applicable) Schedule and Work Model - Full time Monday through Friday, standard business hours.
- Hybrid work model - Assembly Row in Somerville, MA approximately 3x/week and at other MGB locations as needed approximately 4x/month.
