Office Assistant

We are looking for a detail-oriented Office Assistant to join our team in Columbus, Georgia. This is a contract to permanent position, offering an excellent opportunity to grow within the organization. The ideal candidate will be responsible for ensuring smooth office operations and providing essential support to management and technicians.

Responsibilities:

  • Maintain organized digital and physical filing systems to ensure easy accessibility of records.
  • Prepare and process invoices, handle payment transactions, and address billing-related inquiries.
  • Manage the ordering and tracking of office supplies and maintenance inventory to support daily operations.
  • Assist technicians with work orders and ensure proper documentation is completed and filed.
  • Generate reports and track project progress to support management decision-making.
  • Perform receptionist duties, including answering incoming calls and greeting visitors in a courteous and attentive manner.
  • Scan and manage documents to maintain accurate and up-to-date records.
  • Handle various clerical tasks to support overall office productivity.
  • Provide assistance with other administrative duties as assigned by management.

Requirements:

  • Proven experience in receptionist or administrative roles.
  • Proficiency in scanning and managing documents efficiently.
  • Strong communication skills for handling inbound calls and inquiries.
  • Ability to perform clerical duties with attention to detail.
  • Familiarity with office equipment and processes.
  • Organizational skills to maintain filing systems and inventory tracking.
  • Basic knowledge of billing processes and invoice preparation.
  • Capability to work independently and collaboratively in a fast-paced environment.
