As a Center Operations Coordinator, you will play a vital role in maintaining the smooth functioning of our center. You will serve as the primary point of contact, providing essential administrative support to ensure high-quality service delivery within a clinical environment. This position focuses on efficiently managing staffing, scheduling, and center supplies, while ensuring timely documentation and regulatory compliance. You will also assist in training new employees in Applied Behavior Analysis (ABA), Safety Care, and CPR Certification, contributing to their development and success.

Key Responsibilities

  • Welcome and assist visitors, ensuring a friendly and professional environment.
  • Manage phone communications by screening calls and directing them accordingly.
  • Make reminder calls to clients for upcoming appointments.
  • Organize mail and deliveries, maintaining a secure environment.
  • Maintain accurate appointment calendars and coordinate meetings.
  • Perform clerical tasks including filing, photocopying, and data entry in Salesforce.
  • Oversee the daily staffing schedule in collaboration with the clinical team.
  • Support the Center Manager with the onboarding process for new staff.
  • Manage session notes and billing documentation submissions to ensure adherence to deadlines.
  • Foster a positive work atmosphere that encourages teamwork and employee engagement.
  • Assist in training new hires and ensuring they meet competency requirements.
  • Keep current with ABA practices and support team members in delivering effective therapy.
  • Participate in special projects and role-related trainings.
  • Maintain compliance with HIPAA regulations and organizational policies.
  • Contribute to the overall success of the team and support center objectives.

Qualifications

  • High school diploma or equivalent.
  • RBT credential is required.
  • Experience in training others in behavior analytic skills; prior training or presenting experience preferred.
  • Familiarity with ABA methodologies and tools beneficial for children with ASD.
  • Strong organizational skills and the ability to handle multiple tasks under pressure.
  • Proficient with Microsoft Office Suite and other relevant software.
  • Knowledge of confidentiality protocols and HIPAA compliance.
  • A commitment to continuous professional development and effective teamwork.
