Position Summary

The Supervisor is responsible for overseeing daily operational performance while providing direct leadership to assigned staff. This role bridges the gap between management and employees by ensuring company objectives are clearly communicated, workflows are executed effectively, and performance standards are consistently met. In addition to maintaining hands-on operational oversight, the Supervisor assists with payroll submission, PTO approvals, employee evaluations, disciplinary actions, and continuous process improvement initiatives to support efficiency, accuracy, and service excellence.

Essential Duties and Responsibilities

Leadership & Workflow Oversight
• Monitor team productivity, attendance, and quality of work; address performance or attendance concerns promptly and professionally
• Manage daily scheduling and staffing to ensure adequate workflow coverage and operational continuity
• Provide regular reporting on team performance, progress toward goals, and operational status
• Assist with recruiting, onboarding, training, and coaching staff; ensure team members are fully cross-trained
• Serve as a primary escalation point for operational and employee-related issues

HIE & Data Flow Management
• Monitor Patient Account Tracking (PAT) to ensure accurate data capture and achieve a minimum 98% capture rate for month-end cycles
• Identify, troubleshoot, and resolve data flow issues impacting HDC, Census Log, Chart Access, document attachments, and system integrations
• Escalate unresolved issues to IT and leadership, providing analysis, documentation, and recommendations
• Develop and implement contingency plans to address disruptions in data capture or communication

Claims Document Processing Oversight
• Ensure accurate conversion of electronic claims to paper submissions, including required medical documentation
• Oversee scanning, indexing, and routing of incoming claim-related mail to appropriate accounts
• Maintain documentation logs to support audits and provide evidence for payer submissions

Mail & Document Indexing Oversight
• Ensure all incoming physical and lockbox mail is properly categorized (EOBs, payments, legal correspondence, etc.)
• Confirm accurate invoice-level indexing and timely repository uploads within Athena or other designated systems
• Maintain established file naming standards and conduct quality checks to ensure complete and accurate document association

Payroll, PTO & Employee Management
• Review, validate, and submit payroll information to ensure accuracy and timeliness
• Review and approve PTO requests while maintaining appropriate staffing levels
• Assist management with employee evaluations by providing performance input, documentation, and feedback
• Support and participate in employee disciplinary actions in accordance with company policy and Human Resources guidance

Compliance, Communication & Service
• Ensure HIPAA compliance and the secure handling of confidential patient and company data
• Maintain professional, effective communication with internal departments, external requestors, and leadership
• Attend required meetings, including IT and month-end operational calls, and represent the department as needed
• Demonstrate strong customer service, professionalism, discretion, and confidentiality in all interactions

Other Duties
• Participate in special projects, audits, and process improvement initiatives
• Support system enhancements and operational changes as assigned

Requirements

Knowledge, Skills, & Abilities
• Strong supervisory and operational leadership skills
• Ability to analyze workflows, identify issues, and implement process improvements
• Working knowledge of healthcare operations, billing, claims processing, and document management
• Ability to handle sensitive employee and compliance matters with discretion
• Strong organizational, communication, and problem-solving skills
• Proficiency with standard office equipment and applicable systems

Education & Experience Requirements
• High school diploma or equivalent required; associate's or bachelor's degree preferred
• Must have 3-4 years prior experience in healthcare operations, billing, coding, or practice management
• Must have 2-4 years experience as a lead or supervisor

Supervisory Responsibilities

This position has direct supervisory responsibility for assigned staff, including oversight of daily workflow, performance, attendance, payroll submission, PTO approvals, participation in evaluations, and support of disciplinary actions in collaboration with management and Human Resources.

Work Environment / Physical Demands

This role operates in a professional office environment and routinely uses standard office equipment such as laptop computers, copiers, and phones.

Physical demands include standing, walking, sitting, use of hands and arms, climbing stairs, stooping, kneeling, and lifting up to 20 pounds. Vision requirements include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus.

Travel

Minimal travel may be required based on business needs.

Salary Description

$64,000-$74,000
