I. Job Summary
Under the Direction of the Senior Manager of Events and Entertainment, the Special Events Manager is responsible for creating memorable experiences for all Callaway guests and visitors. Specific duties are discussed in interviews but will include the following: Assist in producing Callaway Garden's Signature Events from conception to completion. Events include, but not limited to, Masters Waterski Tournament, Summer Family Adventure, 4th of July, Labor Day Balloon Festival, Pumpkin Festival and Fantasy in Lights. A primary function of this, and every other job at Callaway Resort & Gardens, is to ensure that each member, guest, and visitor receives the highest caliber service.
II. Summary of Major Duties & Responsibilities
• Provide creative leadership in the development and implementation and monitoring of all business within Special Events.
• Supervision of approximately 10 year-round and 100+ seasonal event staff.
• Assist in assessing, planning, implementing, and evaluating event operations for all Signature Events, including but not limited Easter, Masters Waterski Tournament, Summer Family Adventure, 4th of July, Labor Day Balloon Festival, Pumpkin Festival and Fantasy in Lights.
• Special event planning, design and production while managing all project deliverables within time limits. Conduct market research, gather information, and negotiate contracts.
• Organize facilities and manage all events details such as decor, catering, entertainment, transportation, location, invitee list, special guests, equipment, promotional material, etc.
• Interview, hire, schedule, coach, counsel, evaluate, perform corrective action and establish recognition programs.
• Ensure direct reports understand and operate within financial goals.
• Create a positive first and last impression for park visitors through Guest Service, Friendliness and Attention to Detail within all areas of responsibility.
• Develop and implement capacity and entertainment enhancement plans for areas of responsibility.
• Implement and supervise safety/risk management protocols in a caring and fun environment for participants, volunteers, and staff. Enforce all event policies and safety procedures.
• Conduct and maintain documentation as assigned, including staff assessments, training plans, employee evaluations, site inspections, insurance, contracts, and incident reports.
• Conduct pre- and post- event meetings and report on outcomes to senior leadership.
• Attend all required program staff meetings and trainings. Act as MOD in absence of Director or Sr. Manager.
• Pass required daily employee and equipment safety checks.
• Wear issued uniform and adhere to dress code.
• Create a nurturing, positive and professional environment while promoting event policies and procedures amongst staff, volunteers, and community.
• Communicate clearly, honestly, and respectfully with all staff, participants, parents, and volunteers.
• Work in Tandem with the Recreation Manager including supporting areas during absences as needed.
• Support all recreation areas as needed to help with operational needs including Treetop Adventure, Bike Rentals, Fishing, Tennis and Beach Operations.
• Recognize and resolve conflicts in a timely manner.
• All other duties as specified during staff training and onboarding.
Management reserves the right to change and/or add to these duties at any time.
III. Qualifications
• Degree in Event Management, Hospitality, Tourism or similar field preferred but not necessary.
• 2+ years of Event leadership experience preferably in a Resort or Attraction setting.
• Large scale event or Festival experience is a plus.
• Ability to work effectively with children and adults, as well as people of all ages and abilities.
• Strong interpersonal and communication skills.
• Ability to stand for long periods of time, and work outside in extreme weather conditions such as, but not limited to, heat, cold, rain, wind.
• Must be able to work weekends and all major holidays.
• Able to lift at least 50 lbs.
