Job Coordinator

Under direction coordinates and plans various functions to include sporting events and tournaments; reserves facility and communicates rules; organizes and oversees summer day camp program; monitors facility and equipment to ensure no vandalism occurs, disciplines center participants as needed; oversees daily center activities and ensures safety guidelines are followed; oversees and coordinates daily operations of facility; orients and trains employees, interprets work rules and monitors performance; establishes and maintains filing system; stores and retrieves documents as needed and prepares various reports and performs additional duties in support of the department as needed or upon request.

Essential Job Duties and Responsibilities The following duties are normal for this position. Other duties may be required, assigned and expected aside from those set forth below to address operational needs and changing operational practices.

• Schedules events and reserves facility for various functions; collects rental fee and informs event sponsors of regulations.
• Coordinates center programs to include after school tutoring, arts / crafts and games.
• Plans various events and activities for after school program; schedules indoor / outdoor sporting events. Prepares and submits event proposals.
• Coordinates and contacts speakers for various events.
• Coordinates with other facilities to organize tournaments; calls to confirm, verify or cancel schedules.
• Opens and inspects facility and equipment to ensure no vandalism has occurred.
• Coordinates and oversees summer day camp program; enrolls participants and verifies enrollment requirements.
• Reviews event schedule to determine daily activities or events.
• Confers with center participants and informs them of rules and regulations.
• Ensures that staff and center participants follow safety guidelines set by the City.
• Prepares score book rosters for Scorekeeper prior to games; set up scoreboard and ensures that it is operable; may replace blown bulbs.
• Contacts parent or guardian regarding emergency medical or disciplinary matters.
• Completes narrative incident report documenting circumstances surrounding injuries, accidents or other significant matters.
• May obtain medical assistance in emergency situations.
• Maintains and secures facility keys.
• Oversees center and monitors employee performance.
• Orients new employees and conducts on-the-job training.
• Recommends pay actions.
• Communicates work rules and administers or recommends disciplinary action.
• Submits and obtains approval of leave time.
• Coordinates activities and supervises volunteer staff.
• Maintains file of memoranda, team rosters and events calendars.
• Maintains file of center records to include time sheets, equipment lists and incident reports.
• Documents and maintains daily attendance record notating hourly attendance.
• Prepares and submits incident reports to Recreation Superintendent for violations of center rules. Prepares monthly event calendar detailing events; posts for public view and submits copy to Superintendent.
• Calculates daily totals, compiles and prepares monthly attendance report; submits to Superintendent. Prepares additional reports upon request.

Qualifications Education and Experience Guidelines Any combination of education and experience that would likely provide the required knowledge and abilities is qualifying. A typical way to obtain the knowledge and abilities required for this position would be:

• Education/Training Have high school education or GED.
• Experience Experience in education/customer service environment including supervisory or lead experience.
• Licenses or Certifications Required N/A

The following generally describes the knowledge and abilities required in order to successfully perform the assigned duties of the position:

• Knowledge of: Community recreation including activities including music, dance, arts and crafts, games, outdoor activities, team sports and social recreation, and the recreational needs of varied clientele including youth and persons with disabilities.
• Administrative office operations including office systems, communications, records and equipment.
• Knowledge of supervisory management including planning, scheduling and supervision.
• Ability to: Comprehend recreation literature, regulations, reports, and similar non-complex material. Prepare correspondence, reports, narrative reports and similar documents.
• Communicate to direct, train and counsel employees and discuss recreation matters with center participants and the general public.
• Add, subtract, multiply and perform simple calculations and compile numerical reports.
• Develop plans and schedules.
• Delegate, communicate, motivate and lead.
